Article 1: Subject of Contract

Trayectis (hereinafter "Company") undertakes to rent minivans (light commercial vehicles for 5 to 9 passengers) to the customer (hereinafter "Renter") under the conditions specified in this rental contract. This document constitutes the entire agreement between the parties and supersedes any prior communication.

Article 2: Renter Requirements

To rent a minivan from Trayectis, the renter must:

  • Be of legal age (at least 21 years old) at the time of booking
  • Hold a valid driving licence for at least 2 years
  • Hold a valid identity document (passport, ID card, residence permit)
  • Hold a valid credit card in their name for the security deposit
  • Have no criminal convictions for drink driving or driving licence revocation

The main driver is the only person authorised to drive the minivan unless otherwise agreed in writing with the Company.

Article 3: Booking and Confirmation

The booking is only valid upon written confirmation by Trayectis by email. The booking must include:

  • Full details of the main driver
  • Pickup and return dates and times
  • Chosen vehicle (or ACRISS category)
  • Pickup and return location
  • Number of passengers

Trayectis reserves the right to change the assigned vehicle if the chosen model is not available, offering an alternative of equal or higher category at no extra cost.

Article 4: Rates and Payment

Daily rates are determined by the ACRISS category of the vehicle and the rental duration. Rates include:

  • SMART Insurance (CDW + TP + RSA)
  • On-board Wi-Fi
  • Satellite navigation (GPS)
  • 24/7 assistance

Rates do NOT include:

  • Fuel (unless prepaid option selected)
  • Additional accessories (child seats, fridge, ski rack, etc.)
  • Any damage beyond the insurance excess
  • Airport parking or custom delivery fees

Article 5: Security Deposit

A security deposit is blocked on the renter's credit card at the time of pickup. The amount depends on the vehicle and insurance coverage chosen:

  • Without SMART PLUS: €1,300-1,700 (depending on vehicle)
  • With SMART PLUS: €300-500 (depending on vehicle)

The deposit is a guarantee, not a charge. It is released in the hours following the close of the rental contract, provided the minivan is returned in perfect condition.

Article 6: Cancellation and Modification

Cancellation conditions are as follows:

  • More than 14 days before: Full refund
  • 7 to 14 days before: 75% refund
  • 3 to 7 days before: 50% refund
  • Within 3 days: No refund

Modifications (dates, times, vehicle) can be made by contacting the Company as soon as possible, subject to availability. A minimum fee of €25 may apply.

Article 7: Vehicle Pickup

The minivan is delivered to the renter with:

  • Full fuel tank
  • Initial mileage recorded
  • Photographic report of initial condition
  • Registration documents and insurance papers
  • Operating instructions and emergency contacts

Article 8: Responsibilities During Rental

The renter is responsible for:

  • Keeping the minivan in good condition of cleanliness
  • Smoking is strictly prohibited (penalty €150-300 for sanitisation)
  • Observing speed limits and Italian highway code
  • Not using the minivan for illegal rentals or unlawful purposes
  • Not allowing unauthorised drivers to drive the minivan
  • Immediately reporting any damage to the minivan via WhatsApp

Article 9: Insurance

All vehicles are covered by a comprehensive insurance policy including:

  • CDW (Collision Damage Waiver): Protection against collision damage
  • TP (Third Party Liability): Civil liability towards third parties
  • RSA (Roadside Assistance): 24/7 roadside assistance

Adding SMART PLUS coverage also includes PAI (Personal Accident Insurance) and significantly reduces the excess from €2,200-2,600 to €300-500.

Article 10: Damage and Economic Responsibility

The renter is responsible for all damage to the minivan during the rental period. A photographic inspection is carried out at both pickup and return. The administrative fee for damage management is €80.00 VAT included.

Article 11: Fuel

The minivan is delivered with a full tank. The renter must return it with the same fuel level. If fuel is insufficient, Trayectis will charge the cost of missing fuel at market rate, plus a €30 refuelling service charge.

Article 12: Vehicle Return

The minivan must be returned on the agreed date and time. Late returns incur a charge of:

  • €50 for each hour of delay (or fraction thereof)
  • Minimum €100 for partial delays (<2 hours)

Article 13: Return of Security Deposit

The security deposit is released in the hours following the close of the rental contract, provided the minivan is in perfect condition, there is no new damage, fuel is at the appropriate level, and all payments are complete.

Article 14: Trayectis Limitation of Liability

Trayectis is not responsible for: loss or damage to personal items left in the minivan, damage caused by force majeure (floods, earthquakes, natural events), accidents caused by the renter's negligence, or delays due to unforeseen circumstances.

Article 15: Termination for Safety Reasons

Trayectis reserves the right to terminate the rental contract without notice if the renter is under the influence of alcohol or drugs, does not hold a valid licence, represents an evident risk to the safety of others, or the minivan is used for illegal purposes.

Article 16: Privacy and Data Protection

Trayectis collects personal data from the renter exclusively for the execution of the rental contract. Data is processed in accordance with GDPR Regulation (EU) 2016/679 and Italian privacy legislation. Data will not be communicated to third parties without the renter's explicit consent.

Article 17: Jurisdiction and Applicable Law

This contract is governed by Italian law (Italian Republic). Disputes arising from this contract will be resolved in accordance with Italian law, with territorial jurisdiction at the courts of the province of Venice (VE), Italy.

Trayectis will respond to all communications within 24 hours on business days.

Article 19: Amendments to Terms

Trayectis reserves the right to modify these Terms and Conditions at any time. Changes take effect immediately on the website. Continued use of the Trayectis service constitutes acceptance of the modified Terms and Conditions.
